Booking guidelines for COVID-19

We are very happy to announce that VGH Simulation Centre will be open and accepting bookings that can meet the new VGH SIM COVID-19 Prevention Guidelines.

These are the key changes to be aware of for our booking guidelines. Refer to VGH SIM COVID-19 Prevention Guidelines for full details. 

  • Booking process and requirements may change in the future as we are guided by VA, VCH, Worksafe BC, BC CDC and MOH mandates and recommendations

  • ALL BOOKINGS made between July 8, 2020 – Dec 31, 2021 are no longer confirmed. The dates and original rooms will be put on HOLD awaiting updates from each booking.

    • Some bookings may require extra days or rooms to meet the new guidelines. Therefore, all bookings can no longer be confirmed until they have been updated and reviewed with the VGH SIM team to confirm we can accommodate the new requests.

    • Each booking will need to:

      1. First step: Check the confirmation form you have received for your confirmed booking – review, update to meet new guidelines and return to

      2. Second step: Work with VGH SIM team to identify new plan for physical distancing and room capacity

      3. Third step: VGH SIM team will confirm if new request (e.g. rooms, dates, support level) can be met – then booking will be changed to CONFIRMED

  • NEW BOOKING ENQUIRIES: Please continue to complete the online booking enquiry form

  • VGH SIM Centre maximum room capacity has changed. NOTE: room capacity may decrease further depending on the set up of each room.

    • BOR 1: 6 people

    • BOR 2 & 4: 4 people

    • BOR 3: 9 people

    • BOR 5, 6, 7, 8: 5 people

    • Skills / Computer Lab: 10 people

    • Lecture Theatre: 16 people

    • Wet lab: 15 people

    • HPS: 247 - 4 people & 247A (Control Room): 1 person

  • New VGH SIM STAT collection paperwork (noting the number of attendees and their discipline) is to be complete on day of booking

  • New attendee electronic sign in form - Every person (instructors, assistants, admin, participants etc.) entering the Centre for the booking must complete the e-form via phone/computer. This must be checked for accuracy before the end of the booking event and paperwork given to VGH SIM staff.

  • Physical distancing 2m – whenever possible. For specific activities within the booking that cannot 100% physical distance (2m) (e.g. team simulations), the booking must provide the appropriate PPE mask and eye protection for all involved. Please note PPE does not replace the need for physical distancing whenever possible.

  • Before leaving the Centre, everyone is responsible for cleaning touch points of rooms and equipment, and placing a green 'I am clean" sticker on items cleaned.

  • We will work with you to maximize the utilization of all our equipment and facilities to support the bookings to proceed with the new guidelines. (e.g. utilizing observation rooms / video conferencing / cameras between rooms)

  • We will provide bookings with an email template to send to everyone attending the booking so they are aware of the new requirements (at least one week before booking)

  • Poster / Slide summary of the new guidelines - Show and discuss at the beginning of every booking

  • Electronic sign in form - For all attendees of the booked event, e.g. instructors, participants, admin, assistants, volunteers etc.

  • Email template - To support you with these new guidelines we have included an email template below, summarizing the new information/instructions for all booking events at VGH SIM. You can utilize this template to share the instructions with all attendees of the booking.

Dear attendees, 

VGH Simulation Centre has new COVID-19 Prevention Guidelines that you need to follow.

  1. If you're sick, please stay home to keep everyone safe.

  2. Maintain physical distancing (2m) - PPE (mask and eye protection) will be provided by your course organizers if specific activities within the booking cannot maintain distancing. For example, cadaver/specimen programs or specific team scenarios.

  3. If coming from a patient care area, please change into clean scrubs and replace mask and clean eye protection before arriving at the centre.

  4. Upon arrival at the centre, please complete the electronic sign in form via phone/computer.

  5. Follow the maximum occupancy of the rooms at all times.

  6. Clean touch points such as table tops, chair handles, equipment, etc.:

    • Between group rotations

    • At the end of the sessions - Please also clean task trainers/manikins/ equipment and put all of the smaller instruments (e.g. needles and guidewires in CVC kits) in packages in the rooms.

  7. Review this poster summary of the new guidelines.

Additional information

All participants who will be working with anatomical specimens at the VGH Simulation Centre must ensure they have completed the below LearningHub online courses within 12 months and before the event date:

  • Title: Infection Prevention and Control Practices for Direct/Professional Clinical Care Providers (Course code #8300) 
    Note: there are two courses with this code - please ensure you take the course with the title above

  • Title: Waste Management Basics Learning Module (Course code #9114)

Once registered, search the course titles/code above to find the courses. 

Once completed, please send your proof of completion certificates to your event representative. Certificates for completed courses can be found in the Learning History Tab, located on the left hand side of the screen.

Please note: course completion may be audited and failure to complete these courses may result in denial of access to the VGH Simulation Centre.

Map and directions to VGH SIM

There is pay parking available at our two visitor lots located on the VGH campus:

  • Multi-level parkade at the corner of West 12th Avenue and Laurel Street, across from the main entrance of the Jim Pattison Pavilion.

  • The Gordon and Leslie Diamond Health Care Centre parking lot is located off of Laurel Street between West 12th and West 13th Avenue.

There is a wheelchair-accessible overpass from the VGH parkade at Level 4 and a crosswalk at Level 2.

Delivery Information

If you require equipment for your event which is not available in the centre, it is your responsibility to bring the items to VGH Sim Centre. It is also your responsibility to arrange set up, take down, packing and delivery of returning the items.

Please note: the shipping and receiving entrance is located at 902 West 10th Avenue, Vancouver. This allows you to park and unload the package/equipment. Shipping and receiving area is open between Mon – Friday 7:00am to 3:00pm. Please page 604-877-3801 when you are in shipping and receiving for a VGH SIM staff member to give you access to the service elevators to the VGH simulation centre.

It is the sender's responsibility to ensure delivery comes direct to the centre from shipping and receiving (often this is done by a sender's representative). If there is not a representative available, please ensure you hire an outside company to deliver the equipment from VGH Shipping and Receiving Department to the VGH Simulation Centre.

Please note the maximum height of the equipment including packaging cannot exceed 203cm height and 290cm width.
