Media policy
Our Public Affairs team helps media representatives track down information, coordinate interviews with physicians, staff and patients, and navigate our facilities. Procedures are followed to protect the confidentiality of our patients, residents and employees.
Please note that these requirements do not apply when surgeons record videos or take photographs with their own equipment (phones, head cams or cameras) for personal record-keeping or educational purposes, and in a manner protecting patient and staff privacy.
Media interviews and filming
- All media calls must be directed to Public Affairs.
- All media interviews must be cleared through Public Affairs.
- All media representatives visiting Vancouver Coastal Health sites must be escorted by Public Affairs personnel (or designate).
- Public Affairs must receive written consent from patients prior to media interviews.
- Documentary film producers must submit a written synopsis about their project to Public Affairs. If consent to film is given, a written agreement must be signed.

Operating room filming and photography
Physicians and individual requests for professional photography, video or telecast filming in the VGH or UBCH Operating Rooms (OR) need to be coordinated with VGH or UBCH OR administration to minimize the impact on operations. Please note that the following requirements do not apply where surgeons record videos or take photographs with their own equipment (phones, headcams or cameras) for personal record-keeping or educational purposes and in a manner protecting patient and staff privacy.
Four weeks before filming and photography
At least one month in advance to ensure sufficient time to accommodate and obtain approval, contact the manager of OR equipment and supplies, Debbie Hendricks, at debbie.hendricks@vch.ca, along with the site's OR patient services manager:

Two weeks before filming and photography
Email Gillian Hobbs at gillian.hobbs@vch.ca with the event's date, time and location. This information is shared with security, who will deny entry to crews if they do not know about an approved event.
Technology and other logistics
Be prepared to provide OR administration details, including:
- Number of people involved
- Required technology, equipment and supplies (ORs are not webcast-ready or linked to VGH Simulation Centre)
- Photography/filming crew’s experience working in ORs
Patient and staff consent
Patients and staff appearing on camera will need to sign a VCH consent form before the day of surgery. Contact Communications, Equity and Partnerships for support with consent and release forms.
On the day of the filming
On the day of the event, you or a designate are responsible for the following:
- Escorting the crew: Greet the crew on arrival and escort them to the ORs and the location of the shoot. Introduce the crew to the nurse coordinator, head nurse, OR control desk and appropriate team head nurse.
- Installing signs as necessary: Depending on the location and discussions with the OR patient services manager, signs alerting staff, patients and families of taping or a live telecast in the vicinity may be required.
- Returning signed consent forms: Signed forms should be returned to the OR patient services manager.
